Your household inventory is personal. This policy explains what stays on your iPhone, what is handled by Apple and what information reaches Boxfolio when you contact us.

Who is responsible

Boxfolio is provided by Michael Thomas, trading as Boxfolio, a UK sole trader. For privacy questions or requests, email support@boxfolio.co.uk. This policy covers the Boxfolio iPhone app, this website and support correspondence.

Your inventory stays on your device

Boxfolio stores the records you create on your device. These may include locations and storage places, item names and notes, photographs, receipts, documents, warranty details, people records, reminders, movement history, optional recorded coordinates and profile preferences. They are used to provide the inventory features you choose. Boxfolio does not operate a central inventory server or provide automatic cloud synchronisation. We cannot see your inventory just because you use the app. The app does not require a separate Boxfolio account.

Permissions and optional features

Camera access is used when you choose to scan a barcode or QR code or take a photograph. Photos and files you select are copied into your inventory. Location access captures the phone’s position when you request it for a storage place; it does not continuously track you or track your belongings. Microphone and speech-recognition access are used when you choose voice search. Apple’s speech recognition may process audio on Apple’s servers depending on your device and language. You can type a search instead. Siri and Spotlight can index item names and recorded locations on supported devices. Notifications provide local reminders if you allow them. You can change permissions in iPhone Settings; declining an optional permission does not require you to give up unrelated features.

Apple subscriptions

Apple processes App Store purchases, payments and subscription management under its own privacy terms. Boxfolio checks signed Apple purchase information, including the product and subscription entitlement, to decide whether editing is available and to restore purchases. We do not receive your card details. Expiry changes the inventory to read-only; it does not send your records to us or automatically delete them. You can still view your records. Adding, editing, deleting, exporting and creating backups require an active subscription.

Exports, backups and sharing

When you export, print or share records, photographs, labels or backups, the information goes to the destination you select. Your chosen cloud storage, email service, printer app or recipient then handles that copy under its own arrangements. Backups are not password-protected by Boxfolio. Keep them somewhere secure and avoid sharing more information than you intend. Your iPhone’s system backups may also include app data, depending on your Apple settings; that is separate from automatic Boxfolio cloud synchronisation.

Support emails

If you contact support, we receive your email address, name if included, message, attachments and any device or app details you choose to provide. We use these to respond, investigate problems and keep track of the request. No inventory or backup is attached automatically. Please avoid sending passwords, Apple verification codes, payment details, identity documents or sensitive information about other people. If a support issue needs a file, we will first agree what is needed and how to share it.

Website, hosting and cookies

The website is hosted on IONOS and uses WordPress. Hosting and security systems may process technical information such as IP addresses, request times, requested pages and browser details to deliver and protect the site. The public informational pages do not use advertising or analytics scripts. WordPress may use essential cookies for sign-in and administration; visitors do not need to create an account to read the site. Following an external link takes you to a service with its own privacy policy. If we introduce optional analytics, advertising or other non-essential cookies, we will update this notice and obtain consent where required before using them.

Sharing and service providers

We do not sell your personal information or use your inventory for advertising. Information may be handled by providers needed to operate the website, email and Apple features described above, or disclosed when legally required. Providers acting for us must process information for the agreed purposes with appropriate confidentiality and security protections. Apple and services you choose independently, such as cloud storage or an email app, also have their own privacy terms. Where personal information is transferred outside the UK, applicable transfer protections are required, such as an adequacy decision or approved contractual safeguards.

Why we use personal information

For personal information we receive, our lawful bases are performance of a contract where processing is necessary to provide purchased services or related support; legitimate interests in answering enquiries, resolving technical problems and keeping our services secure; and legal obligations where records must be kept or disclosed by law. Where we rely on consent, you can withdraw it. We do not use support messages for unsolicited marketing or make decisions with legal or similarly significant effects solely by automated processing.

How long information is kept

Your inventory stays on your device until you delete it or remove the app. Archiving a record is not deletion. Exported copies and system backups remain until you remove them from their separate destinations. Support correspondence is retained while needed to resolve the request and provide relevant follow-up, and longer only where needed for a continuing dispute or legal obligation. Website technical records are retained by the hosting service for operational and security needs. Information is deleted or anonymised when those purposes no longer require it.

Deleting data and managing your choices

You can edit or delete records while editing is available. To remove all local Boxfolio app data, first save any records you need, then choose Delete App in iPhone Settings; offloading the app retains its data. Separately delete any exports, files or backups you no longer need. Manage camera, photo, microphone, speech, location and notification permissions in iPhone Settings. Manage subscriptions through your Apple account. We cannot remotely delete the inventory held only on your device.

Your privacy rights

Depending on the circumstances, you can ask for access to personal information we hold about you, correction, deletion, restriction or portability, and object to processing based on legitimate interests. These rights have legal limits. Contact support@boxfolio.co.uk to make a request; we may need to verify your identity before releasing information. You can also complain to the UK’s Information Commissioner’s Office at ico.org.uk/make-a-complaint. We would appreciate the chance to address your concern first.

Changes to this policy

We will update this page if Boxfolio’s data practices change. Significant changes affecting your choices will be brought to your attention where appropriate.
